Switching gym software is easier to plan when you start with an ordinary working day. A member arrives, checks their account and books a class. Your team checks a payment and answers a question. Those small routines tell you what the new system needs to handle and what must be ready before the change.
Use this gym software migration checklist to organize the move. It is a planning guide for independent gym owners, not a promise that every record or payment credential can transfer between providers.
Gym software migration checklist: map your records
List the information you depend on: member contact details, membership status, billing dates, balances, booked sessions and attendance history. Record where each item currently lives and who owns the final check. Include spreadsheets or paper processes that sit outside your main software.
Separate current records from duplicates and inactive accounts. Keep an untouched export for reference, then work on a copy. Agree which fields are required in the new system before changing column names or deleting information.
Confirm transfer options with both providers
Ask your current provider what it can export, in which format and by what date. Ask the new provider which fields it can accept, what needs manual entry and how exceptions will be handled. A sample file is more useful than an assumption that two systems use the same labels.
Treat stored payment credentials as a separate question. Do not assume they are included in a member export or can be moved through an ordinary spreadsheet. Ask the providers to confirm the supported process and any action members will need to take.
Plan around billing and bookings
Write down the last date each system will be responsible for collecting payments. Confirm how your team will handle recurring billing, credits, freezes and balances that span the change. Assign one person to review the first billing cycle and investigate an unexpected charge before making a correction.
Do the same for bookings. Check recurring classes, capacity limits and appointments scheduled after the move. Decide how members will find the new calendar and what staff will do if a booking appears in one place but not the other.
Test a small set of real situations
Before moving everyone, choose a small sample that represents your membership types. Include a straightforward active member and the exceptions your team deals with regularly. Compare the source record with the new record field by field.
Have staff walk through the actual workflow: find the member, review their membership, make a booking and locate the attendance record. Use approved test procedures for billing. Record each issue, its owner and what must be checked again before launch.
Prepare members and staff for the change
Give members a concise explanation of what changes, when it changes and where to get help. Explain any new login or booking steps. Avoid sending conflicting instructions from several channels.
Give every shift the same handover. Staff should know which system is the current record, where to log a problem and who can approve a correction. Keep a practical fallback for check-ins or bookings if a setup issue needs more time.
Review the first week before closing the project
Compare a sample of membership records, bookings and payments with the source. Look for duplicates, missing information and repeated support questions. Keep the old records available for the retention period your business requires, subject to your agreements and policies.
Your gym software migration checklist is complete when your team can run the everyday routines confidently and has a clear owner for the remaining exceptions.
